AI-Powered Invoice Automation for AllSteamPro Corporation

AllSteamPro Corporation wanted to cut the manual effort out of invoice processing and customer-facing documentation. VTSB designed and built an AI-powered automation workflow to do exactly that.

The Challenge

AllSteamPro Corporation was looking to reduce the manual effort involved in processing invoices and generating customer-facing documentation.

The existing workflow required information to be extracted from PDF documents, interpreted, validated, and then used to generate invoices and related business outputs. This type of process is time-consuming, repetitive, and susceptible to manual errors — particularly when documents vary in structure and formatting.

The objective was to create an automated workflow capable of understanding incoming documents, extracting the relevant information, applying business logic, and integrating with external systems while minimising human intervention.

The Solution

An AI-powered invoice automation workflow was designed and implemented using OpenAI and Microsoft Azure, with integrations into external business services.

The solution combines document ingestion, AI-based information extraction, workflow orchestration, validation and system integration into a single automated pipeline.

Key capabilities included:

PDF document ingestion

Automatically accepts and processes invoice-related PDF documents.

AI-powered document understanding

Uses OpenAI models to interpret unstructured document content and extract relevant business information.

Structured data extraction

Converts information from documents into structured data that can be consumed by downstream processes.

Business workflow automation

Applies predefined business rules and workflow logic to reduce manual processing.

External system integration

Integrates with services including OpenTable where required by the business workflow.

Cloud-based architecture

Built using Microsoft Azure services to provide a scalable and maintainable execution environment.

Automated invoice generation

Uses the extracted and validated information to support automated invoice creation and downstream processing.

Exception handling

Allows cases requiring additional validation or human intervention to be identified rather than blindly processing unreliable information.

High-Level Architecture

The workflow follows an event-driven, AI-assisted processing pipeline:

Document Upload → PDF Ingestion → AI Extraction → Data Validation → Business Rules → External Integrations → Invoice Generation → Output

At the centre of the architecture is an AI processing layer responsible for transforming unstructured documents into structured business information. This approach combines traditional deterministic workflow automation with AI capabilities where conventional rules-based extraction would be insufficient.

Engineering Approach

A key design consideration was to avoid treating AI as the entire solution. Instead, AI was used specifically where it provides value — understanding and extracting information from semi-structured or unstructured documents — while deterministic application logic remained responsible for validation, business rules and workflow execution. This hybrid architecture provides greater control and reliability than an AI-only approach.

The workflow can therefore distinguish between:

What AI is good at

What traditional software is good at

Business Value

The automation significantly reduces the amount of repetitive manual work involved in the invoice-processing workflow.

Expected benefits include:

Reduced manual processing

Employees no longer need to manually extract every relevant field from incoming documents.

Improved consistency

Automated processing applies the same validation and business rules across transactions.

Faster turnaround

Documents can move through the workflow automatically rather than waiting for manual processing.

Reduced data-entry errors

AI-assisted extraction minimizes repetitive manual transcription.

Scalable processing

The cloud-based architecture allows the workflow to process increasing document volumes without proportionally increasing manual effort.

Better use of employee time

Staff can focus on exceptions, customer service, and higher-value activities instead of repetitive document processing.

The Result

The project demonstrated how generative AI can be integrated into a real-world business automation workflow, moving beyond conversational AI into operational process automation.

By combining OpenAI, Microsoft Azure, document processing, and external API integrations, the solution created an intelligent pipeline capable of turning unstructured business documents into actionable, structured workflows.

The architecture also provides a foundation for extending automation to additional document types, business processes, and integrations as the organization’s automation requirements evolve.

Key Takeaway

AI doesn’t need to replace the entire business process to create significant value. By placing AI at the point where unstructured information enters a deterministic workflow, organizations can automate complex processes while maintaining control, validation, and reliability.
